How Far in Advance Should You Book Your Event Decorator? A Metro East Timeline Guide

One of the most common questions we hear at Sorelle Atelier is, «Am I calling you too early?» The honest answer is almost never — and when it comes to event décor, booking early is usually what makes the difference between getting the exact vision you pinned to your mood board and settling for whatever’s still available. If you’re planning a celebration anywhere in Swansea, Belleville, O’Fallon, Fairview Heights, or the greater Metro East area, here’s a realistic timeline to work from.

Weddings: 9 to 12 months out

A full wedding design — ceiling draping, floral installations, lounge furniture, and a cohesive color story from ceremony to reception — takes the most lead time, both for us and for you. Booking nine to twelve months ahead gives us room to source specialty rentals, coordinate with your florist and venue, and build a design that’s truly custom rather than pulled from what’s left in inventory. Popular dates in spring and fall fill up fastest, so if you already have a venue booked, reach out as soon as your date is confirmed.

Quinceañeras: 6 to 9 months out

Quinceañeras often involve a big guest list, a specific color palette tied to the dress and court, and details like a balloon arch backdrop or a dedicated photo moment. Six to nine months gives enough time to plan the full look together, place custom orders if needed, and make sure your date doesn’t compete with other celebrations on our calendar during peak quinceañera season (spring and summer).

Baby Showers and Graduations: 3 to 4 months out

These celebrations tend to move faster from «let’s do this» to the actual date, and the décor is usually more contained — a balloon garland, a dessert table backdrop, table styling. Three to four months is typically enough time, though we always recommend reaching out as soon as you have a date and venue locked in, especially if your event falls in May or June when graduation season overlaps with wedding season.
